KAAIAA Pty Ltd (ACN 649 112 621) (“KAAIAA”, “we”, “us”, “our”) operates a women’s training studio in Bondi Junction, NSW.

We are committed to protecting your privacy and handling your personal information responsibly. We manage personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and, where applicable, the Health Records and Information Privacy Act 2002 (NSW).

This Privacy Policy explains what personal information we collect, why we collect it, how we use it, who we share it with, and the choices you have.

“You” means anyone whose personal information we hold, including members, intro offer participants, leads, event attendees, website visitors, and job applicants.

Because we collect health and fitness-related information, some of the information we hold is classified as sensitive information under Australian privacy law. We take additional care when handling this information.

The Information We Collect

We collect personal information that is reasonably necessary to operate KAAIAA and provide our services.

Depending on how you interact with us, we may collect the following information.

When You Book, Sign Up or Become a Member

  • Phone number

  • Postal address

  • Date of birth

  • Emergency contact details

  • Signature

  • Social media handle, where provided

  • Membership, class, intro offer and purchase history

  • Booking and attendance records

  • Preferences relating to classes, training and scheduling

  • Information you provide through conversations, enquiries, forms, surveys, emails, phone calls or messages

Health and Fitness Information

We collect health information that is reasonably necessary to provide safe exercise instruction and training services.

This may include:

  • Pre-exercise screening information

  • Medical conditions relevant to exercise participation

  • Injuries and rehabilitation history

  • Physical limitations or movement restrictions

  • Exercise modifications and training considerations

  • Fitness assessments and training history

  • Body composition information, including Evolt scan results and related assessments

  • Member notes relating to injuries, exercise restrictions, health considerations, menopause-related concerns, training modifications and participation history

  • Any other information you choose to provide to help us coach you safely and effectively

Health information includes information about your physical or mental health, disability status, exercise limitations, health assessments, body composition measurements, fitness testing results and any information collected to assess your suitability for exercise participation.

When You Pay

We collect information required to process payments and manage your membership. Card payments are processed through third-party payment providers, including Stripe. We do not store complete payment card details on our own systems.

When You Use Our Website

We may collect:

  • Links clicked

  • Referral sources

  • Information collected through cookies and similar technologies

When You Attend Events

We may collect:

You provide consent when you complete health screening forms, Evolt assessments, membership forms, injury reports, or otherwise provide health-related information to us.

  • Program training appropriately

  • Manage risks associated with participation in our services

Relevant health information may be shared with KAAIAA coaches, trainers and instructors on a need-to-know basis to provide safe exercise supervision and appropriate exercise modifications.

We do not use health information for direct marketing.

Children and Young People

We may collect personal information relating to participants under 18 years of age. Where required, we will obtain consent from a parent or legal guardian before providing services to a minor. Parents and guardians may contact us regarding information we hold about a minor participant.

Opting out of marketing communications will not affect essential operational communications, including booking confirmations, receipts, payment notices, membership information and important policy updates.

We do not sell personal information.

We may share information where reasonably necessary to operate KAAIAA, including with:

  • Xplor Growth (marketing automation, email and SMS communications)

  • Stripe (payment processing)

  • Squarespace (website hosting)

  • Google (analytics and website services)

  • Meta (advertising and marketing services)

  • Evolt (body composition assessment services)

  • Professional advisers including lawyers, accountants and insurers

  • Service providers assisting with business operations

  • Government agencies, courts, regulators and law enforcement where required by law

We may also share information where:

  • You have authorised us to do so

  • It is necessary to protect health or safety

  • It is necessary to protect the rights, property or security of KAAIAA or others

If KAAIAA is sold, restructured or transferred, personal information may form part of the transferred business assets.

Overseas Disclosure of Information

Some of our service providers operate internationally and may store or process personal information outside Australia, including in the United States and other countries.

Dealing With Us Anonymously

You may browse our website or make general enquiries anonymously or using a pseudonym. However, if you wish to book classes, purchase memberships, participate in training or access our services, we must identify you for safety, operational and billing purposes.

CCTV and Security

KAAIAA may use CCTV and security monitoring systems at its premises for security, safety, incident investigation and asset protection purposes. Where CCTV operates, appropriate signage will be displayed. Recordings may be accessed only by authorised personnel and may be disclosed where required by law or for legitimate security purposes.

How We Protect Your Information

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

How Long We Keep Information

We retain personal information only for as long as reasonably necessary to fulfil the purposes for which it was collected, or as required by law.

Membership records, attendance records, payment records, health screening information, Evolt assessment information and training-related records may be retained after a membership ends where reasonably necessary for legal, insurance, risk management, accounting, business administration or regulatory purposes. When information is no longer required, we securely destroy or de-identify it.

Accessing and Correcting Your Information

You may request access to the personal information we hold about you and request corrections if information is inaccurate, incomplete or out of date. Requests can be made by contacting:

We will respond within a reasonable period, generally within 30 days. We may require identity verification before processing requests. In limited circumstances permitted by law, we may refuse access or correction requests. If we do, we will explain the reasons.
